Data controller

The data controller is Harbour Immigration, Dublin, Ireland. To exercise your data protection rights, email us using the details on our contact page.

The enquiry form

The enquiry form collects your first and last name, email address, optional phone number, subject and the information you include in your message.

The lawful basis is that processing is necessary to take steps at your request before entering into a contract. If the enquiry does not become a case, it is deleted.

Identity document numbers are not required for an enquiry. If you include one, we remove it from the enquiry record.

Case files

When you become a client, we create a case file containing the documents needed for your application. These may reveal special category data, for example in civil certificates or medical records. Where this applies, we explain whether processing relies on your explicit consent or is necessary for the establishment, exercise or defence of legal claims.

Case files are held in encrypted storage in the European Union. They are not synchronised to consumer cloud accounts or stored on phones.

Artificial intelligence

We use AI tools for research, drafting and checking without providing your documents or identity data. Any use connected to a case is covered by a business agreement prohibiting training on the input. We review and take responsibility for all work before sending it to you.

No decision about you is made by automated means.

Retention periods

  • Enquiries that do not become cases: deleted within three months
  • Case files: kept for the period stated in your engagement letter to deal with follow-up questions, then deleted
  • Accounting records: kept for the period Revenue requires, which is longer than the case file

Your rights

You can request access to your personal data, correction or deletion, object to processing, or request a portable copy. We respond to requests within one month.

You can also complain to the Data Protection Commission.
